What incentive houses, sales directors and corporate planners ask before committing to a Lapland off-site.

What size of incentive group do you typically host in Lapland?
Sweet-spot is 20 to 80 winners. We have run single-cohort programmes up to 150 and split into parallel cohorts above that. Below 12 you are buying an executive retreat; above 200 we build a dedicated production plan with charter aviation and resort buy-out.
How far in advance do we need to book a peak-winter incentive?
To secure the most exclusive lodges and engineer premium winter logistics, we require a 9-18 month lead time for executive board buyouts. Peak glass-igloo and lodge buyouts require early commitment.
Can you guarantee we will see the Northern Lights?
No operator honestly can — aurora is a natural phenomenon. What we can do is base your programme inside the Aurora Oval (Ivalo, Inari, Saariselkä) where statistical odds are highest, run multi-night chase logistics with mobile guides, and design indoor wow-moments — wilderness dining, sauna ritual, husky — so the photo album lands either way.
Do you handle private aviation and VIP arrivals at Ivalo?
Yes. Ivalo Airport accepts up to Falcon 7X and we coordinate FBO handling, customs liaison, helicopter onward transfers and discreet arrival into off-grid lodges. For incentive winners flown commercial, we run dedicated meet-and-greet from gate through transfer.
What languages do your guides and producers work in?
Standard languages are EN, FI, SV, NO. We supply FR, ES, DE, IT and Portuguese on request with 8-week lead time. For incentive groups from a single market we assign a producer who speaks that language as their first or second language.
What is included versus extra in a typical incentive package?
We execute turnkey incentive travel programs. All billing is direct and transparent. You work directly with Stefan on site.
How do you handle dietary requirements and accessibility for mixed groups?
Dietary requirements are audited at week-of and confirmed with each venue. We cover vegan, halal, kosher, allergen and medical diets as standard. Mobility-limited participants are paired with low-impact activity tracks held in reserve for every wilderness session.
What sustainability credentials do you bring to a CSR-led incentive?
We are a Sustainable Travel Finland operator working with STF-labelled venues by default. Per programme we provide carbon-balanced itineraries, written supplier provenance, Sámi-community engagement statements where Sámi-led sessions are included, and reports that map cleanly to GRI and ESRS frameworks.
