How early should we book a journey?
Winter dates at Hotel Kuura are the most sought after and are typically confirmed twelve to eighteen months ahead. Spring, Midnight Sun and Ruska editions offer more flexibility. If your dates are closer, send them anyway — we will tell you honestly what is possible, often more than you would expect.
What is included in a journey price?
Every journey includes your stay at Hotel Kuura, daily meals, meeting space and equipment, a named Experience Host, the designed Arctic experiences, and all airport and programme transfers. Flights to Ivalo, alcohol beyond the confirmed beverage package and personal travel insurance are arranged separately. One partner, one invoice, one journey.
What group sizes do you host?
Most journeys are designed for 8 to 24 guests — the scale at which Hotel Kuura becomes entirely yours, and every evening runs on your group's rhythm. For larger ambitions, we design a custom-scaled programme for 100 or more guests. Tell us your numbers and your purpose, and we will shape the journey to fit.
Can we travel outside the winter season?
Yes — every journey runs year-round in four seasonal editions: Winter, Spring, Midnight Sun and Ruska. The purpose of your journey stays the same; its Arctic expression changes — snow and aurora give way to endless light, then to autumn colour and the returning northern sky. Choose the season, and we design the edition around it.
Can we fit real meeting time into a journey?
Yes — the programme is modular, and the business agenda comes first. Meeting blocks are protected, with executive space, equipment and continuous refreshments at Hotel Kuura, and each day's field experience is chosen to improve the work rather than interrupt it. Tell us how much working time you need, and we design around it.
How do you handle last-minute weather changes?
Every outdoor moment has an equally compelling indoor or sheltered alternative. We monitor Arctic weather continuously and rebuild the day's running order when conditions ask for it — and the agreed purpose of your journey is preserved, whichever version of the day you get.
How do we get to Ivalo?
Ivalo is our default gateway and the closest airport to Hotel Kuura — private airport transport is included in every journey. If your group is arriving via Rovaniemi, Levi or another Lapland airport instead, we quote a private transfer or an experience bus with activity stops along the way.
Do you help with flights?
We handle flight bookings case by case, typically for VIP guests, through partner group-sale arrangements (including Finnair) — it isn't a standing promise on every journey, so raise it in your brief and we'll confirm what's possible. Either way, Nordic MICE builds your full itinerary on a turnkey basis with one invoice.
