    Winter

    Snow on the dome, aurora on the breaks, husky on the social. Winter is the iconic Arctic conference — the season that produces the photo the delegate keeps as a phone wallpaper for years.

What associations, PCOs and corporate event leads ask before signing an Arctic conference brief.

What delegate counts do you support, and where do they meet?
We deliver multi-day conferences for 50 to 300 delegates. Glass-dome venues seat up to 200 in plenary; for 300 we use combined resort buy-outs with parallel breakout kotas. Below 50 you are running a symposium; above 300 we build a dedicated production plan with shuttle infrastructure.
Do venues come with full AV, IMAG and simultaneous interpretation?
Yes. We equip remote wilderness venues with high-speed satellite internet, professional sound engineering, and multi-screen hybrid conference capabilities. Simultaneous interpretation is supported in 5 EU languages (English, German, French, Spanish, Italian).
How do you handle delegate accommodation across a 200-person multi-day programme?
We block premium-tier accommodation across two to four properties within a 15-minute coach radius of the plenary venue. Glass igloos and lakeside suites are reserved for VIP and speaker tier; standard delegate rooms are coordinated as a single inventory pool with multilingual check-in.
What is your weather and aviation contingency plan?
Every multi-day conference runs with two contingency tracks pre-staged — one indoor-warm, one outdoor-mild. Ivalo Airport has the most reliable winter operating record in northern Finland. For weather diversions to Rovaniemi or Kittilä we hold coach capacity on retainer through the conference window.
Can the conference run carbon-aware reporting our sustainability team can use?
Yes. We are a Sustainable Travel Finland operator. Per conference we deliver a written carbon-balanced itinerary, supplier provenance, local-hire percentage and Sámi-community engagement statement where Sámi-led sessions are included. Reports map cleanly to GRI and ESRS frameworks for association sustainability disclosure.
What is the typical lead time for booking a multi-day conference?
Peak winter (January-March) conferences for 100+ delegates need 12 to 18 months lead time to secure venue, accommodation block and AV rig. Shoulder seasons (April, late October-November) and summer-autumn programmes can confirm at 6 to 9 months. Add 4 weeks for full speaker logistics.
Do you handle delegate registration, accreditation and on-site hosting?
On request. We run delegate registration in-house, including pre-arrival accreditation, badge production, multilingual help desk, allergen and dietary management, VIP and speaker tier handling, and on-site producer cover from welcome reception through close. Standalone PCO partnership is also fine.
What evening and social programme do you build around the plenary days?
Standard menu: welcome reception in a heated kota, aurora chase nights with hot-drink stations, a Michelin-tier gala dinner, ice-bar networking and a closing wilderness lunch. Each evening flexes to the conference's tempo — content-heavy days get quieter social, light days get headline-grade experiences.
