Nordic MICE — A Xwander Group brand

Same crew, same standards

From a 12-person executive retreat to a 200-person product launch — same producers, same safety doctrine, same supply chain.

Lapland · location undisclosed

One group · One evening · Three rooms

Activity, accommodation, event — one production team.

Same crew, same night, three locations. Gather around the kota fire at twilight, walk back to the cabins on the shore, settle into the Tentipi stage tent. End-to-end, on one contract.

Brand activations

OEM ice tracks meet six-husky teams.

Automotive launches, sponsor activations and heritage moments share one supply chain — ice-track logistics on Monday, sled-team scouting on Tuesday, broadcast crew on Wednesday.

How we work

Three steps. No surprises.

Brief, plan, deliver. Comprehensive site inspection and technical scout, an airtight production schedule with weather contingencies built in, and a dedicated on-site team that owns every detail from arrival to departure.

Brief
Comprehensive site inspection and technical scout. We map venues, scout backup locations and pre-confirm every supplier weeks before delegates touch the snow.
Plan
Airtight production schedule with weather contingencies. Every outdoor moment has a sheltered Plan B; every helicopter slot is double-booked.
Deliver
Dedicated on-site team. One producer, one safety lead, one logistics coordinator — all reachable on radio, all empowered to call audibles.
“If a streamer chose us for six weeks of frame-accurate scheduling, your four-day incentive is in safe hands.”

FAQ

What buyers ask first.

Eight short answers to questions we hear from procurement, EAs and event leads in the first call. If yours is missing, send it — we answer all of them within 24 hours.

How early should we book a Lapland incentive programme?
Twelve to eighteen months for peak-season dates (December–March). Premium wilderness lodges and helicopter charters book out fastest. We hold provisional dates for ninety days against a non-refundable retainer.
What is the typical budget for a Nordic MICE event?
Premium corporate incentives start around €3,000 per delegate. Multi-day brand activations and 40-pax executive retreats start around €120,000. Productions are scoped individually with line-item transparency.
Do you handle multi-week film productions?
Yes. We routinely support multi-week shoots with location scouting, permits, arctic safety coordinators, heavy logistics and access to up to 40% Finnish cash rebate for qualifying international productions.
What languages does the team speak?
Our forty guides operate in English, Finnish, German, French, Dutch, Spanish and Swedish. Simultaneous interpretation in five languages is supplied for international conferences.
How do you handle last-minute weather changes?
Every outdoor event has an equally compelling indoor or sheltered Plan B. We monitor arctic storm fronts continuously and execute seamless transitions without breaking the guest experience.
Can you organise hybrid conferences with remote participants?
Yes. Robust A/V infrastructure, redundant satellite uplinks and dedicated technical directors bridge the Arctic wilderness with global audiences for high-fidelity streaming and stable two-way Q&A.
What is the maximum group size?
We specialise in high-touch events for 10–200 pax. We can scale to 500 pax for brand activations by securing entire village capacities, private charter flights and bespoke temporary structures.
Do you handle international travel logistics?
End to end. Direct charters to Ivalo, discreet VIP airport transfers, ground-transport fleets and intra-Lapland movements via snowmobile, helicopter or luxury coach.
